need help setting up a simple video consult system for my sleep clinic

Hi everyone, I run a solo CPAP compliance and sleep coaching practice by myself. Right now everything is kind of a mess behind the scenes. Currently patients fill out a Typeform intake, then I have to manually email them a Doxy.me link from my work Gmail, and write notes in an old Google Doc. It worked okay when I had five clients a week, but a local pulmonary doctor started sending me all their CPAP follow-ups and now I'm juggling over 30 remote consults a week.

Last month I tried setting up Zapier to connect Google Calendar to Zoom and automatically text patients reminder links, but it glitched and scheduled three people for the exact same 2 PM slot on a Monday, which was really embarrassing. I just need a clean, simple setup where a patient can pick an open time, upload a photo of their CPAP machine screen or mask leak report, pay their fee, and click one secure link to start the video call without downloading complicated software.

Dr. Henderson is retiring on June 1st and transferring about 60 regular patients to my roster, so I need this working reliably before June rolls around. I have never hired a freelancer before and don't really know how this works, so please explain what platform or tools you would use in plain English so I can understand. Thanks!
